Job Title: Exchange Visit Coordinator (Bilingual English & Latin American Spanish)
Hours: Part time, variable with minimum 7.5 hours/week. (Intensive commitment between 22nd April-4th May with potential requirement for evening and weekend/Bank Holiday working.
Salary: Between £13.85 and £15.00 per hour depending on experience (Full time equivalent annual salary would be £27,008 – £29,250)
Location: Queen Mary University of London Mile End Campus (Please note that the employer is People’s Palace Projects Limited.)
Reporting to: Project Manager
Key objectives:
- To play a key role in the delivery of a successful exchange visit to the UK for 2 individuals and 2 groups of visitors.
- To manage the efficient planning and coordination of PPP’s exchange visits to London during April and May 2025.
- To act as main point of contact and guide for all visitors to PPP during their visit to the UK.
- To liaise with PPP’s Communications team to update website and social media accounts related to exchange visits.
Duties and Responsibilities
a) Visit planning: Working to Rosie Hunter and Project Managers, plan the visit schedules, make arrangements for rooms, venues, partner visits, and translation, draw up the daily schedules for exchange visitors and communicate these to all relevant people (PPP staff, visitors, partner organisations, etc).
b) Liaise with exchange visitors to ensure they feel supported and are kept up to date. This will include meeting at the airport (travel costs met by PPP), arranging travelcards and per diems for visitors, liaising with accommodation providers, etc.
c) Keep notes of sessions and keep PPP team updated with exchange visit progress and key moments to celebrate visit.
d) Liaise with PPP’s Finance & Admin Officer to ensure all visitors have relevant per diems and travel expenses.
e) Working closely with the Project Managers and Executive Director, assist with the running of PPP’s exchange events. This may include booking venues, some hosting, buying supplies, sending out invitations, coordinating travel arrangements etc.
f) Interpret and work on translations when required.
General

Project Outlines
Aawaaz Audio Theatre
Aawaaz Audio Theatre is a pilot project that aims to research and investigate the potential for reviving the form of audio drama in Pakistan, while nurturing creativity, cross-cultural collaboration, and impactful storytelling. The Project is delivered through a collaboration between the Lead Partner (NAPA) and People’s Palace Projects (PPP), with funding and stakeholder support from Queen Mary University London (QMUL), The British Council, and English Speaking Union of Pakistan (ESUP). During this pilot, the Partners are supporting three Resident Artists to develop a script proposal into a short Audio Drama (~20 mins) recorded in both English and Urdu by end of July 2025. This pilot sets out to be a unique platform for emerging and established playwrights to create impactful audio dramas, and to amplify diverse voices, perspectives, and storytelling in audio formats.
BUILDING RESILIENCE and resources to overcome depression and anxiety in young people from urban neighbourhoods in Latin America (OLA)
A five-year MRC-sponsored research programme on depression and anxiety in urban youth (a collaboration with the Unit for Community and Social Psychiatry/QMUL and the Javeriana University in Colombia, the University of Buenos Aires and CRONICAS – a Peruvian research centre on chronic diseases). PPP raised additional funding for the last phase of OLA to set up and curate a programme for 9 young artists from Bogotá, Buenos Aires and Lima to engage with the OLA research findings and use their arts practices to share them in schools and public environments where young people socialise (youth clubs, festivals, sports facilities, etc). Their workshops and performances reached 5,259 people in Argentina, Colombia and Peru.
